Training and Documentation

1. 
   Awareness
   

Before changing the organizations work processes, awareness programs will be conducted for all staffs by the management and the project team to mitigate the resistance to change. The system will not be implemented before majority of the organization is fully aware of the benefits of the new system.

2. 
   Documentation
   

Documentation will be carried out in all of the stages of system testing. User documentation is updated with the changes that occur over the course of system development. Moreover, at the end of the project documentation will be updated and provided to the end users.

3. 
   Training
   

At the end of the project before full system implementation a presentation will be held which will involve all the employees of the company. This session will be taken by the project team to show the basic features of the system and how to use them.
More sessions will be held department wise, to train users to get familiar with the system and to provide extra training before they are ready to fully start using the system. Users can clear doubts and free any uncertainties they might face. A user guide will be available in each department as softcopies after system implementation for further information.
The project schedule showing the activities, dates and people involved is shown in the table on the Annex 01 of this document.

7. Conclusion

Current system which is manual incurs lot of cost through paper alone. Moreover, other stationary items add more cost like pens ruler etc. Lot of time is wasted by staff when all the work are carried out manually. Also retrieving manually stored information is much harder compared to the newly developed system.
The new system will simplify and make day to day business activities easier for Real Softwares. Also, this new system will help serve more customers as it helps reduce time spent on tedious works. Improved communication among departments will lead to improved work efficiency. Document management and sharing is simplified through successful implementation of this new system. Moreover, it benefits the business by cutting down the costs over the following years by reducing into to a half of what would have been if manual system is used.
Cost benefit analysis shows that project is worthwhile and feasible. If implemented well risks can be avoided with well-planned contingency plans. This project will benefit greatly in future to reduce workload and focus more on important matters. Also, it will help make the business more environmental friendly by cutting down on paper usage. Moreover, it will help the company move toward its goal of becoming the ideal software development company in Maldives.
